Recruitment Process Outsourcing Services for US Hiring Teams

Recruiting breaks at the volume line, long before it breaks on quality.

Once requisition count passes what your team can physically cover, coverage becomes triage. The urgent role gets worked, the difficult one gets a job posting and hope. We provide recruitment process outsourcing services to two kinds of client, companies hiring for themselves, and staffing firms needing delivery capacity behind their own desks. Same recruiters, same discipline, different end of the transaction.

Recruitment capacity that works inside your systems and under your brand

Offshore recruitment services on US hours, priced below domestic headcount

WHY RECRUITMENT FAILS AT SCALE

Nobody decides to stop searching. Recruiters protect the work with visible output, interviews, client calls, offers, and the passive search that would have produced the best candidate quietly stops happening. Nothing looks broken. The pipeline just narrows to whoever applied.

For a staffing firm the same cause shows up differently: a slipping vendor scorecard, submittals landing after the window closed, and billers spending afternoons formatting resumes. Offshore recruiters for staffing agencies solve a capacity problem, not a skill problem, which is why the firms that benefit most are usually the ones whose recruiters are already good and already full.

What Our Recruitment Process Outsourcing Services Cover

Four engagement scopes, from sourcing support through full lifecycle delivery. Most clients start with one of the first two and expand once throughput is proven rather than promised.

Sourcing Sourcing and Screening Full-Cycle Recruitment Administrative Support

Sourcing

Pipeline generation when the search itself is the bottleneck. Active and passive search across LinkedIn Recruiter, job boards and your dormant database, with pre-screening before anything reaches your desk, so what you review is a candidate rather than an applicant.

Active and passive search · Job board search · Pre-screening · Executive search and headhunting

Sourcing and Screening

Everything in Sourcing plus the coordination layer between a candidate and a submittal. The scope most staffing firms buy first, because it removes the work that makes billers slow without removing their control.

Database management and requisition planning · Candidate sourcing · VMS coordination · CV and resume formatting

Full-Cycle Recruitment

End-to-end ownership from requisition to first payroll run. Chosen by employers who want the function handled rather than supported, and by staffing firms running high-volume contract desks.

Requisition planning · Candidate sourcing · VMS coordination · CV formatting · Onboarding and compliance · Timesheet management · Payroll accounting

Administrative Support

The recurring work that doesn't need a recruiter but consumes one. Priced lowest of the four and often the entry point for firms testing whether offshore delivery works before committing recruiters to it.

A Remote Staffing Agency That Works Inside Your Existing Systems

Your ATS. Your brand. Your candidate data throughout.

  • US-hours shift coverage
  • Sector-specific screeners
  • Works in your ATS
  • VMS window compliance
  • Weekly submittal reporting
  • Pilot before retainer

How We Approach Recruitment Engagements

01. Requisition intake

We pressure-test the brief before sourcing starts, must-haves, deal-breakers, target companies, submittal format and the approval chain. Most delivery failures trace back to intake rather than to recruiters, and a role defined loosely produces volume that someone then has to disqualify.

02.Sourcing and pre-screening

Active and passive search against the agreed brief, with every candidate contacted and qualified on availability, compensation, work authorization and genuine motivation. Candidates arrive with a qualification summary, so your first review is of people rather than of documents.

03. Submittal and coordination

Resumes formatted to your template and submitted through your ATS or VMS inside the response window, with documentation maintained as we go rather than reconstructed later. Interview scheduling and feedback chasing handled so your recruiters stay in the conversations requiring judgment.

04. Onboarding and reporting

Compliance, documentation and timesheet setup where the scope includes it, plus weekly reporting on submittals, interviews and fills by role. Underperforming requisitions are flagged early rather than explained at a quarterly review.

SystemsCandidates worked in the provider's own database and handed over as exports. Leaving means rebuilding your pipeline from spreadsheets. We work inside your ATS and VMS under your credentials. Records, notes and audit trail stay in your environment permanently.
BrandingCandidates are contacted by an agency name they don't recognise, which depresses response rates before anyone reads the message.Outreach runs under your brand. Candidates experience your company, and the response rate reflects your reputation rather than ours.
ScreeningA general recruiting pool handles every sector, so a screener qualifies developers on Monday and nurses on Tuesday.Staffed by sector. A screener who has worked the discipline catches in one call what a generalist discovers at final interview.
Time zones"Overlap available" agreed loosely, then negotiated once escalations start arriving outside working hours.Shifted schedules covering US business hours, with the overlap window agreed in writing before the engagement begins.
ReportingMonthly summaries of activity, candidates sourced, hours worked, that never answer whether delivery is actually working.Weekly submittal, interview and fill numbers by role, including the requisitions going badly. Ratios you can forecast against.
Volume handlingCapacity flexes toward whichever client escalated most recently, so your coverage depends on how loudly you complain.Named recruiters on your requisitions only. Coverage doesn't dip because another account had a difficult week.
PricingOne model offered regardless of your requisition volume, usually the one most profitable for the provider.Three models. We run the arithmetic with you at scoping and recommend the one that costs you less, including when that's not us.
Fit honestyEvery enquiry becomes a proposal, including companies whose volume doesn't justify outsourcing at all.Below roughly five hires a year, agency placement fees are cheaper than a retainer. We'll say so rather than sell you a model that loses.

Send us one requisition,

not a signed retainer.

Most engagements start with a single role rather than a contract. You get a real submittal against a real brief, a clear view of screening quality, and an honest read on whether outsourcing makes sense at your current volume, sometimes the answer is that it doesn’t.

    FAQs

What's the difference between RPO and using a staffing agency?
A staffing agency sells you a candidate and charges a placement fee. RPO sells you recruitment capacity, the process itself, usually retained, working under your brand inside your systems. Below roughly five hires a year, agency fees cost less. Above that, a dedicated recruiter model usually wins.
Can you help us win clients as well as fill roles?
Different problem, and worth keeping separate. Recruitment delivery fills the requisitions you already hold; it doesn't win new accounts. Staffing firms needing both usually run our RPO team on delivery while our B2B lead generation services team works the client side.
Our agency brand looks dated. Does that affect hiring?
Measurably. Candidates check your site before replying, and vendor shortlists increasingly include a web presence review. That's a marketing problem rather than a delivery one, handled through our digital marketing services team and scoped separately.
Can you rebuild our careers site or job board?
Yes, though it sits outside this scope. Careers pages, application flows and ATS integrations are development work, handled through website design and development. Application drop-off is one of the most common and least examined causes of a thin pipeline.
How is recruitment process outsourcing priced?
Three models. A fixed monthly fee for a dedicated recruiter or pod, a commission per placement, or a hybrid of a reduced base plus a smaller per-hire fee. Which is cheaper depends entirely on requisition volume and how predictable it is, high steady volume favours the retainer, irregular hiring favours placement fees.
Can an outsourced recruitment team work inside our ATS and VMS?
Yes, and it's how most engagements should run. Recruiters work in your applicant tracking system and vendor management system under your credentials, so candidate records, audit trails and scorecard data stay in your environment. There should be no parallel database and no export handover when an engagement ends.
Do offshore recruiters work US business hours?
Delivery teams run shifted schedules to cover US hours, typically with four to six hours of live overlap for intake calls, submittal review and escalations. Full-shift coverage is available and costs more. Agree the overlap window in writing before the engagement starts rather than negotiating it later.
Is outsourced recruitment cheaper than an in-house recruiter?
Usually above a certain volume, once salary, benefits, tooling and ramp time are counted. An in-house recruiter takes three to four months to reach full productivity and carries fixed cost through hiring freezes. Below roughly five hires a year, contingency placement fees are typically cheaper than either option.
